Sabah Digital Summit

Privacy Policy

1. ALLOCATION OF EXHIBITION SPACE

Booth locations are decided by the Organizer based on order of application, booth content and other applicable factors. The Organizer may change allocated space before the exhibition preparation period and is not liable for compensation owing to such changes.

2. PAYMENTS AND PARTICIPATION FEE

Booking forms must be submitted to the Organizer with 50% of the total fee paid within fourteen (14) days of submission. Booth space is allocated on a first-come, first-served basis and cannot be reserved until the deposit is received. Failure to complete remaining payments by the required date may result in loss of booth reservation.

3. BOOTH INSTALLATION AND DISMANTLING

Installation and dismantling must be completed within the period stipulated by the Organizer. Booths may not be dismantled before the specified time; any losses arising from delayed set-up or take-down are compensable by the Exhibitor.

4. INSURANCE, SAFETY AND SECURITY

The Exhibitor must insure all equipment and exhibits for the installation, event, and dismantlement periods. The Organizer will take reasonable protective measures, but ultimate liability for loss, theft, or damage rests with the Exhibitor. All materials used must be fire-safety compliant.

5. PROVIDING INFORMATION TO THE ORGANIZER

The Exhibitor must provide accurate data on exhibiting items and booth contents, and any company information needed for promotion of the Summit.

6. EXHIBITION BOOTH MANAGEMENT

Exhibitors may only showcase items listed in their application. The Organizer may deny changes deemed detrimental or inappropriate. Booths must be staffed at all times, and no activity may extend beyond the allocated space.

7. SUB-LEASING OF BOOTHS

Booth space may not be assigned to a third party without the Organizer's approval.

8. RESTRICTION ON SALES

The Exhibition is for showcasing, not over-the-counter sales. Promotional giveaways not involving currency exchange are permitted, provided they do not disrupt other exhibitors or visitors.

9. BREACHES OF CONTRACT

Failure to use allocated space, missed payment deadlines, or non-compliance with regulations may result in the Organizer voiding the application without refund.

10. CHANGES, AMENDMENTS OR CANCELLATION OF CONTRACT

Downgrades or cancellations incur penalties, payable within 15 days of the amendment request: (a) 50% of total fee if cancelled 60 days or more before the opening date; (b) 80% of total fee if cancelled between 60 and 30 days before the opening date; (c) no refund if cancelled 30 days or less before the opening date. No refund applies thereafter under any circumstances, including visa rejection — in that case, the fee is carried forward once, to the following year's edition, and is not refundable.

11. FORCE MAJEURE

Neither party is liable for delay or failure caused by acts of God, war, government regulation, terrorism, civil disorder, curtailment of transportation facilities, or any other comparable emergency beyond the affected party's control (each a "Force Majeure Event").

12. ADDITIONAL RULES AND REGULATIONS

The Organizer may supplement or amend these Rules. Exhibitors must also observe SICC's own venue regulations, and any matters not addressed here follow applicable Malaysian and Sabah state law.

13. CLEAN FULFILLMENT OF CONTRACT

Neither the Organizer nor the Exhibitor may request or offer any inappropriate granting, bribable service, or money. Both parties commit to maintaining a clean, transparent, fair-trade environment.
